This Privacy Policy explains how Absolute Azerbaijan collects, uses, shares and protects personal data across our websites, services and digital products. The English version is authoritative; translations are for convenience only.

Absolute Azerbaijan LLC (“Absolute Azerbaijan,” “we,” “us,” or “our”) respects the privacy of everyone who visits our websites, uses our property and hospitality services, or interacts with our digital products — including Absolute Management Platform, Absolute Online Check-in, Absolute Hotel App, Absolute Hotel Voice, Absolute Listing Marketing tools, the partner portal at partner.absoluteazerbaijan.com, and our internal admin tools (together, the “Services”).

This Privacy Policy explains what personal data we collect, why we collect it, how we use and share it, how long we keep it, and the rights available to property owners, guests, hosts, hotel operators, partners, vendors, and website visitors. It should be read with our Terms of Service and Cookie Policy.

Absolute Azerbaijan processes personal data primarily in accordance with the personal data protection legislation of the Republic of Azerbaijan. Where we deal with individuals located in the European Union, including through our Lithuania-based international contact point, we apply GDPR principles as a matter of good practice, even where GDPR does not directly apply to our operations.

2. Language and Authoritative Version

This Privacy Policy is prepared and published in English. Versions in Azerbaijani and Russian are provided for convenience only. If there is any conflict, ambiguity, or inconsistency between the English version and a translation, the English version prevails.

4. Who and What This Policy Covers

This Policy applies to personal data collected through:

Our public marketing websites (English, Azerbaijani, and Russian versions);
Enquiry, onboarding, quote, and lead-generation forms, including self-serve product start flows;
Product landing pages for Management Platform, Online Check-in, Hotel App, Hotel Voice, and related marketing pages;
The partner portal and related operational dashboards;
Absolute Management Platform, Online Check-in, Hotel App, and Hotel Voice product environments;
Absolute Listing Marketing programme administration, where applicable;
Our internal admin tools used by authorised Absolute Azerbaijan staff; and
Direct communications with us by phone, email, WhatsApp, Telegram, or other messaging channels we enable.

It does not cover independent third parties such as booking channels (for example Airbnb or Booking.com), payment processors, digital identity providers (including SIMA where used), cloud or telephony providers, or Mester24.az, each of which maintains its own privacy notice for data it processes as an independent controller.

5. Personal Data We Collect

The categories of personal data we collect depend on how you interact with us and may include:

Identity data: full name, date of birth, nationality, and, where verification is enabled, copies or scans of passports, national ID cards, or equivalent documents, together with a photograph or selfie, and/or digital identity attributes obtained through systems such as SIMA;
Contact data: postal and property address, email address, and telephone number;
Account data: login email, authentication history, preferences, roles, and permission levels;
Property, hotel, and booking data: listings, room inventory, calendars, reservation dates, guest counts, special requests, check-in and check-out records, service orders, and operational tickets;
Voice and communications operations data: where Hotel Voice or messaging tools are used — call metadata, IVR selections, recordings where enabled, SMS/Telegram operational messages, and related configuration;
Financial data: bank details for owner payouts, invoicing information, and transaction history. We do not store full payment card numbers; card and AZN payments are processed by regulated third-party providers (such as ePoint where enabled);
Technical and usage data: IP address, browser and device type, operating system, referring pages, pages viewed, and approximate location, including via cookies as described in our Cookie Policy;
Communications data: enquiry content, support tickets, and correspondence with our team; and
Vendor and staffing data: limited contact and scheduling data needed to coordinate renovation, staging, or on-property fulfilment.

6. Where We Get Your Data

We collect personal data:

Directly from you when you complete a form, create an account, submit check-in or verification steps, or contact us;
From property owners, hosts, or hotels in relation to guests they place on our Services;
From booking channels and online travel agencies integrated to synchronise reservations;
From payment and digital identity providers when you complete payments or verification;
From Mester24.az where renovation or staging is jointly coordinated;
From publicly available sources where necessary to verify ownership or company details; and
Automatically through cookies, analytics tools, and server logs.

7. How We Use Your Data

We use personal data to:

Provide managed property services, renovation, staging, and Absolute Listing Marketing;
Operate Management Platform, Online Check-in, Hotel App, Hotel Voice, and partner tools;
Verify guest or user identity where configured, and support operators’ accommodation workflows;
Process payments and owner payouts through regulated providers;
Administer accounts, authentication, roles, and support;
Send service updates and, where you have opted in, marketing communications;
Secure our systems, prevent fraud, and investigate incidents; and
Comply with legal, tax, accounting, and regulatory obligations, and respond to lawful authority requests.

Operators remain responsible for determining and meeting legal guest-registration and record-keeping requirements applicable to their properties, unless a signed agreement expressly assigns that responsibility to Absolute Azerbaijan.

8. Our Legal Bases for Processing

We rely on the following bases, using GDPR terminology for EU-connected individuals while remaining primarily governed by Azerbaijani law:

Performance of a contract — to deliver agreed services and digital products;
Legal obligation — to meet applicable tax, accounting, and regulatory requirements;
Legitimate interests — to secure systems, prevent fraud, improve Services, and communicate with existing clients about related offerings, balanced against your rights; and
Consent — for optional marketing and non-essential cookies, which you may withdraw at any time.

We do not sell personal data. We share personal data only where necessary with:

Mester24.az, for renovation and staging delivery;
Booking channels and OTAs, to manage reservations on an operator’s behalf;
Payment processors and banks, including AZN payment providers where used;
Digital identity providers, including SIMA-related systems where verification is enabled;
Cloud, telephony, messaging, and IT providers that host or support our products;
Professional advisers (accountants, auditors, lawyers) where necessary;
Government and regulatory authorities where required by law; and
A successor entity in a merger, acquisition, or restructuring, subject to confidentiality protections.

10. International Data Transfers

Personal data is primarily hosted and processed in Azerbaijan and in data centres operated by our providers, which may be located in the European Union or elsewhere. Where data is transferred outside Azerbaijan, including in connection with our Lithuania-based international contact point, we take reasonable steps to ensure appropriate protection, such as data processing agreements, standard contractual clauses, or equivalent safeguards recognised under GDPR.

11. How Long We Keep Your Data

We retain personal data only as long as reasonably necessary, including:

For the duration of a service or product relationship, plus a reasonable period afterward for queries or disputes;
For identity-verification and guest journey records, for the period required by applicable rules and operational need;
For financial and accounting records, for statutory retention periods under Azerbaijani law;
For call recordings and voice logs (where enabled), for the retention period configured for the product and disclosed in setup;
For marketing consents, until withdrawal or reasonable inactivity; and
For website and portal logs, for a limited operational security period.

When data is no longer needed, we securely delete, anonymise, or aggregate it.

12. How We Protect Your Data

We apply administrative, technical, and organisational safeguards appropriate to the sensitivity of the data, including:

Encryption of data in transit between your device and our Services;
Secure authentication methods for partner access;
Role-based access controls for admin and operational tools;
Restricted access to identity and financial data on a need-to-know basis;
Regular review of security practices and vendor arrangements; and
Incident response procedures, including notification where legally required.

No method of transmission or storage is completely secure. While we work to protect personal data, we cannot guarantee absolute security.

13. Your Privacy Rights

Subject to applicable law, you may have the right to:

Request access to, and a copy of, personal data we hold about you;
Request correction of inaccurate or incomplete data;
Request erasure where retention is no longer necessary or required by law;
Request restriction of, or object to, certain processing, including direct marketing;
Request a portable copy of data you provided, where technically feasible; and
Withdraw consent previously given, without affecting prior lawful processing.

14. Children’s Data

Our Services are directed at adults and are not intended for children to create accounts or receive marketing. Where a minor travels with a family stay, limited identity information may be processed through guest journeys as required by law or operator configuration, under the responsibility of the accompanying parent or guardian. If you believe a child’s data was provided without appropriate authority, contact us so we can address it.

15. Cookies and Similar Technologies

Our websites and portals use cookies and similar technologies to operate securely, remember preferences, and understand usage. Details are set out in our Cookie Policy, which forms part of this Privacy Policy.

16. Changes to This Policy

We may update this Privacy Policy from time to time. Updates will be published on this page with a revised “Last updated” date. Where changes are material, we will take reasonable steps to notify affected users before they take effect.
